Who are Xsien?

We are a small, highly skilled design and development team with a solid background in building user friendly, accessible and intelligent Management Systems. We utilise both existing and emerging technologies to offer you a truly better way of working.

What do we do?

Simply put, we create solutions to everyday problems using everything within our skill base.

So what are we doing in the construction industry?

  • The construction market fulfills a core requirement world wide and always will.
  • Regardless of the climate, the need for Residential and Commercial property is always there, even during these more difficult times.
  • Construction is a part of everyones life and therefore it is a huge target market. What is more interesting is that with advancements in technologies over the past decade, and now that we are in this digital revolution, there is no clear market leader providing easy to use, problem solving, robust

systems offering true value to small and medium sized companies.

So what are the problems with the software already available?

  • The software is, initially, extremely expensive.

Bespoke products can cost £200k+ with some more complex systems easily exceeding £2m.
So this means the small to medium sized companies can rarely afford to better their processes using technology from a reputable company. Generally the cheaper development companies come with inherent problems.

  • Often incur additional hardware expense.

Once you have your new software, the requirements of the software exceed the ability of your existing computer equipment. This can result in costly and time consuming hardware upgrades.

  • Painful to use.

The potential benefits of great design skills are rarely assessed as a high priority by cheaper development companies. Developing systems requires large investment; if you employ the services of a cheaper company the areas where generally cut backs are made is the design department. Good design can make the experience of using a system an easier one; a more productive one.

  • Difficult to understand.

Bespoke systems have potentially one fundamental flaw - they are built by programmers. Without thorough consultation with the construction industry, without feedback and refinement, without a true understanding of usability, the system will be difficult for the users, for you, to understand and impacts effeciency.

Most systems are built for installation onto existing computers. This is great if you have invested in high quality PC's that are up-to-date. But with our target market, the truth is usually the opposite. So the same people that most need these systems will incur even more costs because they need to first update their computers. It's a double whammy. The other choice is to install systems on inferior computers and we all know how many times Microsoft Windows crashes or breaks each year, and with that your system needs to be reinstalled. Infact most of the reliability issues rarely are down to the software not operating correctly.

  • Inefficient.

Some systems have actually been over developed. With these systems tasks can take more time to complete than using a simpler, paper based method. This results specifically from development companies not thoroughly scoping projects or even from those same companies that you employed to ultimately help you spend less, actually taking advantage of your lack of expertise in this area.

Because all the XMS' software and data is off-site, the risk fire hazard or damage from hardware failure to your company is greatly reduced.

The XMS servers are housed in the London Hosting Centre (LHC). The LHC features world class resilient infrastructure, including multiple levels of 24/7 security, stable high-capacity power supplies, fire protection and environmental controls.

  • Better scalability.

For the next 12 months, during our pre-launch period, any licensees of the XMS will have the ability to add as many Users as required; User numbers will not be limited. Which means as your company grows and your administration staff grows you can add more Users to your XMS and even assign them privileges so that areas with sensitive information can be restricted.

What does the XMS do?

Staff

Well, let's start with an area common to every company - staff.

Every company has Staff and every staff individual needs managing to a lesser or greater degree; and their information must be quickly accessible to the people who need it.

So the XMS gives you the ability to better manage and communicate with your staff through three modules in the XMS; the Staff Manager, Certificate Manager and Memo Manager.

Managing staff availability.

Knowing who is working where and who has left and who is off sick. With trades moving around from site to site or even company to company - and then back again, wouldn't it be great to be able to know quickly who is actually available to work for you.

Communicating with your staff.

Once you have your complete list of staff individuals, wouldn't it be good to send them out communications, to send them text in the same system where all their details are stored. All staff may not have email addresses but mobile phones are common place and the beauty is that the phone goes with you everywhere. Your work related message will go with them everywhere. If the message is relevant to a whole trade or group of staff individuals then getting critical information to them quickly via SMS text messaging can be really effective and instant.

Managing staff certificates.

Keeping staff's public liability insurance, CSCS and HSE certification, can be monotonous, repetitive and time consuming but some are a legal requirement and some are requirements put on you by your client. What we have found is that with these kinds of routine tasks, people switch off and that's when mistakes can happen. Without some of these certificates like public liability staff can't even go on site or if they do the liabilities to you as their employer are potentially disastrous. The Certificate manager can be used to manage this information and because the XMS already has SMS Text sending capabilities, it will send out SMS text messages to your staff individuals before an email is sent to office staff to remind them to chase the renewed certificate.

Managing other certificates.

There are many ways the Certificate Manager can be used from van MOT or Vehicle Tax reminders to Tool safety inspections. Keeping accurate records of tool safety inspections is a requirement by law, again the Certificate manager can be used to manage this information and will send out SMS text messages to your staff individuals before an email is sent to office staff to remind them to chase the renewed certificate.

Tendering

  • Manage Quality control issues on site via PDA logging issues as you go.
  • Issues flagged instantly alerted to the office admin.

Finance

  • Create fast printable Labour Sheets to give to your labour staff on a plot by plot basis; downloads into Excel.
  • Add, search and find all your labour staff individual's bank details; downloads into Excel.
